Position Summary:
The UniServ and Government Relations Associate performs a variety of complex secretarial and administrative duties of a highly responsible nature; maintains efficient office procedures and practices designed to offer the greatest support to TEA staff and local affiliates. This full-time position is based at TEA headquarters in Nashville and supports both Field Organizing (UniServ) and Government Relations operations. The position reports to the Manger of Membership and Marketing and will collaborate closely assigned staff and the Government Relations Manager. Occasional evening and weekend work may be required during peak events or legislative activity.
The successful candidate will need to reside in or near the Nashville area and have a valid driver’s license and reliable transportation. The position will require participation in occasional evening and weekend work.
Primary Duties and Responsibilities:
- Provide general clerical and secretarial services for assigned UniServ and Government Relations coordinators. These duties include typing (flyers, training materials, agendas, letters, postcards, etc.), filing, mailing, collecting, creating and collating materials as well as assembling training packets and various internal and external communications.
- Assist professional staff in responding to member requests for organizing, advocacy, recruitment information and other affiliate-related topics.
- Assist in the planning, logistics, and implementation of conferences, workshops and meetings.
- Prepare and assemble materials for presentations, workshops and speeches conducted by UniServ and Government Relations or other staff members as requested.
- Provide clerical services for TEA committees-commissions and sections as assigned (i.e. minutes, correspondence, updates, reports, etc.).
- Assist with gathering contact information and maintaining a database of local affiliate officers, action teams, committee chairpersons and external partners.
- Coordinate the distribution of information relative to field organizing and affiliate capacity and events to members and external agencies, using postal mail, email and the TEA network.
- Assist with the distribution of incoming and outgoing mail for TEA staff.
- Transport staff and members using TEA vehicles to and from the legislature, external events and Association activities when requested.
- Accept such other responsibilities as may be requested by the assigned UniServ and Government Relations Coordinators and managers.
- When necessary, aid other Associate staff and colleagues in the carrying out of their work as assigned.
- Accept other duties as assigned by management.
Qualifications/Experience: - Minimum high school diploma; business college or college desirable.
- Above-average ability in keyboarding, spelling, composition, and math skills.
- Knowledge and ability to perform basic office management functions.
- Personal computer and other basic office technology experience or training.
- Ability to interact effectively with TEA members, staff, and leadership is essential.
- Exceptional attention to detail, time management, and professionalism.
- Proficiency in Microsoft Office Suite including Outlook and Word.
- Strong interpersonal skills.
- Proactive approaches to problem-solving.
- Resourceful team-player with the ability to work independently.
- Adaptable to various competing demands and demonstrates the highest level of customer/client service and response.
- Excellent written and verbal communication skills
Proficiency in Microsoft Outlook and Word
The candidate who fills this position must have demonstrated skills working in high pace settings on a regular basis and have strong personal organization, time management and priority establishment skills, as well as the ability to work both independently and interdependently under tight deadlines with limited supervision.
Preferred Competencies
- Associate degree or higher.
- Proficient in Excel.
- Demonstrated experience in broad administrative and general office management.
- Successful experience working in a non-profit and/or union environment.
- Experience with SharePoint and Google Workspace.
